Budget assumptions

Use Canadian dollars (CAD). The planning period is the first growing season, including preparation, opening, community meals, closing, and the pilot review. There is no fixed spending budget. Bob contributes only what he is willing to spend and has not committed to covering every shortfall. Other resources depend on donations. Record actual contributions and expenses as they occur, identifying the source or payer and retaining supporting records. Bob provides use of the land, raised beds, soil, gravel, shed, water, and limited power. Record these as contributed resources. Their availability without a participant charge does not mean they have no cost to Bob or no value. Leave unknown unit costs blank. Use zero only where no cash payment is required for the item being recorded, and explain the contribution in the notes. Mark estimates as estimated and confirmed amounts as confirmed. Meals are potlucks supplied by participating members. Participant food contributions, seeds, plot consumables, and tool-replacement responsibilities are described separately under Funding and participant costs.

Funding and participant costs

There is no plot fee. Bob contributes use of the site and facilities and decides what additional spending he is willing to cover. Shared tools and supplies depend on donations. Participants pay for their own seeds and incidental or consumable supplies for their plots. Community meals are optional potlucks. Each garden member participating in a meal brings a dish providing 50 servings and may attend with up to three guests. The member supplies the dish at their own expense. Bob may voluntarily replace stolen or broken tools. The participant who last used a broken tool is responsible for replacing it. A participant who fails to lock the shed before leaving is responsible for replacing items stolen as a result of that failure. Cash donations may be given to Bob or the coordinating group. Bob holds program cash securely and separately from his personal money. Record contributions and expenses as they occur. Review the cash-storage arrangement when the amount held becomes too large to reasonably retain under the current arrangement. Provide donors with an acknowledgment marked “Not an official donation receipt for income tax purposes.” No charitable tax credit or deduction is promised. Any future official donation receipt may be issued only where the recipient and gift meet the applicable requirements.

Use of garden land — first season10confirmedContributed by Bob without a cash charge to the program. Quantity represents one season of site use. Monetary value of the contribution has not been assessed.
Use of raised garden beds20confirmedTwo beds provided by Bob, each 1 m × 3 m with six plots, giving 12 plots total. No cash charge to the program. Contribution value has not been assessed.
Use of tool shed — first season10confirmedShed use and participant storage space provided by Bob without a cash charge to the program. Quantity represents one season of use. Contribution value has not been assessed.
Soil and gravel provided for garden use1 seasonal allocation0confirmedBob provides these resources without a cash charge to the program. Quantity groups the seasonal contribution; volumes and contribution value have not been assessed.
Water and limited power — first season1 season0confirmedBob contributes water and use of the standard 15A shed outlet while participants are present and working in the garden. Zero is the program cash charge, not Bob’s utility cost.
Donated shared tools and garden suppliesRecord items as receivedUnknownestimatedDonations may include straw, ties, stakes, shovels, trimmers, trowels, and other approved supplies. Available quantities and costs remain unknown; record actual items, donor/source, and any purchase cost.
Potluck food contributed by attending membersAt least 2 meals0confirmedNo program payment for member-provided food. Each attending member supplies one dish with 50 servings and may bring up to 3 guests. Personal food costs are not valued here. This quantity is the minimum planned meal count, not a confirmed attendance figure.
First-aid kit supplies and restockingAs usedUnknownestimatedA kit is available inside the shed. Notify Bob whenever supplies are used. Record actual restocking costs and their funding source; Bob’s spending is discretionary and no amount has been committed.
Participant instructions, signage, and feedback formsAs neededUnknownestimatedIncludes orientation packets, operating and camera notices, event notices, and feedback sheets. Quantities and printing costs are not yet known. Use donated supplies or spending Bob agrees to cover and record actual costs.
Camera operation and recording storage1 seasonUnknownestimatedCamera arrangements are recorded in the owner decision: video only, covering beds, community area, and shed exterior, with 90-day retention. Equipment, storage, and operating costs have not been provided; record any actual cost and payer.
Replacement of broken or stolen toolsOnly if replacement is neededUnknownestimatedNo replacement quantity or spending is assumed. The last user replaces a broken tool; a participant who leaves the shed unlocked replaces items stolen as a result. Bob may contribute voluntarily. Record the actual replacement, cost, and responsible payer without treating it as an automatic program expense.
